This explains what personal data SupplySync collects, why we have it, where it lives and what you can ask us to do with it. SupplySync is provided by ZeroPoint, which is the data controller for the information described here.

Before publishing: fill in the registered company details and the ICO registration number below. If you process personal data by automated means as a UK business, you almost certainly need to be registered with the ICO and pay the annual data-protection fee.

What we collect and why

DataWhy we have itLawful basis
Your email address To sign you in (we email a link or code instead of using passwords) and to contact you about your account Performance of a contract
Company name To name your workspace Performance of a contract
Stock records — item names, quantities, sites, and the name of the person who took stock out This is the service. You enter it; we store it so your crew can share it Performance of a contract
Subscription status and Stripe customer reference To know whether your workspace is on a trial, active or cancelled Performance of a contract
Anonymous usage events (which screens and actions get used) To work out which parts of the product are worth improving Legitimate interests — you can opt out in the app
Feedback you choose to send us To improve the product and reply to you Legitimate interests

A note about crew names. When someone logs stock out, the app records who took it. If you enter real names, that is personal data about your staff, and you are responsible for telling them it is being recorded. You can use initials or nicknames instead if you prefer.

Card details

We never see or store your card. Payments are handled entirely by Stripe, who are the controller of your payment data. See Stripe's privacy policy.

Who we share it with

  • Supabase — hosts the database your workspace lives in (London region, United Kingdom).
  • Vercel — serves the website and the app.
  • Stripe — takes payments and manages subscriptions.
  • Resend — sends transactional email where we use it.

We do not sell your data, and we do not share it for advertising. Where a supplier processes data outside the UK, that transfer relies on the UK's adequacy regulations or on standard contractual clauses.

Where your data is stored

Your workspace database is hosted in the London (eu-west-2) region. The app also keeps a copy of your current stock on the device you use it on, so it works offline — clearing your browser data removes that local copy but not the cloud one.

How long we keep it

  • Stock records and account details — while your workspace exists, and for up to 90 days after you ask us to delete it, so it can be recovered if the request was a mistake.
  • Billing records — six years, because tax law requires it.
  • Usage events — up to 12 months.

Your rights

Under UK GDPR you can ask us to:

  • give you a copy of the personal data we hold about you;
  • correct anything that is wrong;
  • delete it, where we do not have to keep it;
  • restrict or object to how we use it, including opting out of usage analytics;
  • provide it in a portable format — the app can export your whole workspace to a file at any time from Settings.

Email hello@supplysync.uk and we will respond within one month. If you are not happy with how we have handled it, you can complain to the Information Commissioner's Office at ico.org.uk.

Cookies and similar technology

We do not use advertising or tracking cookies. The app stores your login session and a local copy of your stock in your browser's own storage, because it cannot work without them. Usage analytics are anonymous, are stored on your device first, and can be switched off in Settings.

Children

SupplySync is a business tool and is not intended for anyone under 16.

Changes

If we change this policy in a way that materially affects you, we will email you or tell you in the app before it takes effect. The date at the top always shows the current version.
